Organizing an outdoor event is not as simple as it seems but with careful preparation and a positive mindset, it can be done seamlessly! Here are 5 tips to help you run a successful summer outdoor event this year:
Medical Precautions and Hydration Stations
High temperatures, outdoor elements and other unforeseen circumstances can cause discomfort or health/safety concerns for your guests. Whether someone is stung by a bee or faints from extreme heat, a first aid kit onsite and an access to medical professionals (either at your venue or nearby) are key.
That said, keeping your guests hydrated is top priority in the hot Summer months. Make sure you have plenty of water on site. If your budget allows, set up hydration stations.
Permits and ordinances
When using public spaces like parks, make sure you check in with your city officials to see what sort of permits you need. If you're booking a private venue, ask about their terms. Always inquire about license requirements and rules.
How many people can we host? What times or how long are we allowed to run our event? Where can my guests park? Are we allowed to serve alcohol? May we barbecue? Are we able to play music and if so, how loud? Are decorations permitted?
Power, facilities and amenities
Always keep logistics in mind. Know what you need and how you can utilize the space.
Do you need to set up a stage? Will you need extension cords? Where can you plug in your electronics? Will lights, sound systems, chairs, tents and/or tables be provided? How many washrooms are there? Is there parking available?
These are just some of the most common things to consider when organizing an outdoor event. Depending on your own requirements, make sure that your venue can accommodate what you need to make your event unforgettable!
Have a backup plan
Being outdoors means your susceptible to more elements that are out of your control. Always prepare for rain, allergens, wind and so on. Have a plan B that you can implement efficiently in case something goes wrong.
Promote casual or airy clothing
With high temps and sometimes even higher humidity, it is beneficial to recommend light airy attire to your guests to help keep them stay fresh and comfortable throughout your event!
